User instructions for the bOnline phone app for HubSpot Marketplace integration. If you have not installed the bOnline HubSpot Marketplace app yet, start with the Installation Guide.
Prerequisites
- HubSpot user account
- bOnline user account
- bOnline user CRM add-on
- bOnline CRM client installed (URL)
- A browser supporting the HubSpot calling tool
Key features
- Click-to-dial is enabled for every phone number field in HubSpot.
- Caller recognition on incoming calls.
- Automatic logging of calls in the Activities tab with the option to add notes.
- Quickly call contacts with speed dial.
App usage
Open the bOnline phone for HubSpot app by selecting the phone icon in the top-right corner of the screen and entering your bOnline phone CRM add-on credentials. The app must be open on at least one tab for the incoming call functionality to work.

After logging in, your app will look as follows:

The Main tab
The Main tab is the screen shown when initially opening the bOnline phone for HubSpot app. When receiving or making a call, the following functions become available:
- Options: used to select the app language and view info about the signed-in user.
- Logout: returns the user to the sign-in screen and disables call recognition.
- Recognition select: when a phone number matches multiple contacts and/or companies, this dropdown becomes available. From it, you can select which contact or company to save the call to. When no recognition is present, this field is not shown.
- Contact/company indicator: shows a contact or company icon depending on the current recognition.
- Call back: call back the current recognition.
- Copy number: copies the recognition's phone number to the clipboard.
- Create contact: opens a form for quick contact creation. At least one field must be filled for successful creation.
- Create company: opens a form for quick company creation. At least one field must be filled for successful creation.
- Contact/company navigation: opens a new tab to the selected recognition's page.
- Notes field: can be used to write notes about the call.
- Save call: adds the current notes to the call history of the selected recognition. Changing recognition and saving again also removes the saved notes from the previous recognition. This button is automatically pressed at the end of a call, and before a new call starts to prevent notes from being lost.
- View note: opens a new tab to the current call object on the selected recognition's page.

History tab
After a call ends, it is added to the call history. The 50 most recent calls are saved. The following features are available in the History tab:
- Search: filter the call history based on the entered text. Matches on full name and phone number.
- All call types: shows all calls without filtering by direction.
- Outgoing: shows only calls made by the user.
- Incoming: shows only calls received by the user.
- Options: expands options for the selected call.
- Call back: make a call to the selected entry.
- Copy number: copy the number to the clipboard.
- Remove from view: remove the entry from history.
- Add to/remove from speed dial: add or remove a contact or company to or from speed dial. Speed dials can also be removed from the Speed Dial tab.
- Call: make a call to the selected entry.

Speed Dial
Speed dials can be added from the call history to quickly call selected contacts and companies. The following features are available in the Speed Dial tab:
- Options: expands options for the selected entry.
- Call: make a call to the selected entry.
- Call back: make a call to the selected entry.
- Copy number: copy the number to the clipboard.
- Remove from speed dial: remove the contact or company from speed dial. This can also be done from the History tab.
